If You Are Being Activated

The Office of Military and Veteran Services has developed a check list to help assist students called to active duty. We recommend students who are notified of upcoming military activation, prior to the completion of their current semester, complete the following:

PROCEDURE:

  • When a situation arises where a student, currently serving in the armed forces, receives orders for activation to state or federal service, the student will notify the Office of Military and Veteran Services (OMVS). Please submit orders to omvs@stockton.edu and complete the Financial Aid Deployment Form. 

  •  The OMVS will be responsible for collecting and storing information in reference to the service member’s deployment. 

  • Once orders have been issued OMVS will be responsible for notifying the service member’s faculty as well as the Office of Student Records of start and end dates of deployment. 

  • A student of a New Jersey public institution of higher education who is unable to complete a course because the student is called to partial or full mobilization for State or Federal active duty as a member of the National Guard or a Reserve component of the Armed Forces of the United States shall be entitled to the options set forth in this section with respect to the student's grade for the course. A student who has completed at least eight weeks of attendance in a course may be eligible to:
    • Receive a letter grade, or
    • Receive a grade of pass or fail or
    • Receive a grade of incomplete, or
    • Withdraw from the course. 

  • A student who has completed less than eight weeks of attendance in a course may choose to:
    • Receive a grade of incomplete, or
    • Withdraw from the course.

  • A letter grade or a grade of pass shall only be awarded if, in the opinion of the faculty member teaching the course, the student has completed sufficient work, and there is sufficient evidence of progress toward meeting the requirements of the course, to justify the grade.
  • A grade of incomplete shall remain valid for a period of one year after the student returns to the New Jersey public institution of higher education.

  • A student who chooses to accept a grade of pass or fail may, within one year after returning to the institution, receive a letter grade for the course by completing the work required for the course, in which case the letter grade shall replace the pass or fail grade as the student's grade for the course.

  • Receiving a letter grade, a grade of pass or fail, or an incomplete will be based on completed classwork, attendance, and approval from each individual faculty member. 

  • A student who chooses to withdraw from a course shall receive a full refund of tuition and fees attributable to that course.

  • A student who chooses to withdraw from the semester and has paid for room and board, shall receive a prorated refund for the
    remaining balance beginning from the date of withdrawal. 

  • Any refund payable to a student who is a financial aid recipient shall be subject to the applicable State and Federal regulations regarding refunds.

  • Should it be necessary to withdraw from all classes, OMVS should be contacted, and a written request submitted. If time does not permit doing so, please have a family member contact OMVS at 609-652-4315 and the request will be processed. However, written permission from the student is required when requesting a leave due to activation.

Enrolled students called into active military service prior to the completion of the semester, whether voluntarily or involuntarily, shall be eligible for the options outlined in the Stockton Student Handbook. It is imperative that you maintain communication with faculty to determine what options are available to you.
