Academic Computing Requests
Lab Reservations (Faculty & Staff only)
Computer labs can be reserved by any faculty or staff of Stockton University wishing to use the facilities for computer demonstrations. In order to accommodate the maximum number of requests we ask that individuals reserving the labs adhere to the Guidelines for the Reservation of Academic Computer Labs.
Reservation guidelines ensure that instructional needs are met for both faculty and students. As a result of limited resources or because resources are sometimes bound to a particular lab (e.g., the multimedia lab where certain multimedia software and hardware are available) it is not always possible to accommodate all requests. However, every effort will be made to allocate resources carefully and equitably and balance reservations so they serve both lecture and walk-in use. In the event of conflicting requests, the Office of Academic Affairs will make the determination of how the resources will be used.
Guidelines for the Reservation of Academic Computer Labs
Reservation requests should be submitted to your division during the course scheduling process. Reservation requests received during this process will be scheduled first giving priority to requests that are consistent with a lab’s primary use. Requests received during the semester are scheduled on a first-come-first-serve basis around the existing reservations and at least two weeks notice is strongly recommended.
Computer labs are available for general use reservations with the following caveats:
- Lab reservations requiring the installation of software must be accompanied by a Software Installation Request Form (See below) at least two weeks in advance of the reservation.
- At times when the demand for general use computer labs exceeds availability, classes that meet three times a week should reserve a lab for up to two sessions per week. Classes that meet two times a week should reserve a lab for up to one session a week.
Under extraordinary circumstances, other labs may be utilized for reservations with the following conditions:
- Approved through the Office of Academic Affairs.

Course-specific software can be installed in the computer labs and electronic classroom
podiums at the request of faculty and staff (Online Request Form). Because of the high level of usage of the facilities, it can be difficult to schedule
software installations, and two-week lead time is required.
Software Licensing Recommendations
When software is purchased for use in the labs, it is imperative that sufficient licenses are purchased so that the students are able to complete their class assignments. Based on past experience, the usual number of licenses needed for a network aware application can be calculated by counting the number of students in the largest section and adding 25% of the total number of students using the software. For example, if there are two sections of 30 students each, 45 licenses (30 + .25*60) should be purchased. If the software is not network aware, the number of licenses needed is higher because the application can only be accessed on specific workstations. In that case 35% should be used for the estimate.
When using software that is sold with textbooks, it is important to review the software license agreement. In most cases, the software accompanying a textbook may NOT be installed in a computer lab environment. Publishers generally require the purchase of separate lab licenses. In such cases, written authorization from the publisher will be required for installation. In order to speed the process, please provide this authorization with the software installation request.
Academic Virtual Machines (Faculty & Staff only)
Stockton faculty members can request virtual machines for educational use in their courses. Virtual machines can be used to run software that would otherwise interfere with the software installed on the lab machines. ITS has created an online form to allow faculty to specify their requirements. See below for more information.
ITS can provide both Windows 10 and Ubuntu virtual machine templates to start from.
Faculty are responsible for both installing and maintaining virtualized hardware resources,
as well any needed software on each virtual machine. It will take two weeks for ITS
to process each request, so it is advised that faculty make virtual machine requests
well in advance of the semester in which the virtual machine will be utilized.
By default, ITS will allocate the following resources to the following templates:
ITS Provided Windows 10 Enterprise |
ITS Provided Linux LTS (Ubuntu Desktop) |
40GB | 20GB |
1 CPU / 2 cores | 1 CPU / 2 cores |
4GB RAM | 2 GB RAM |
Local admin password |
Local admin password provided for software configuration and installs |
How To Request A Custom Virtual Machine Provided By Faculty.
Virtual machines built outside of the ITS templates are also acceptable. Faculty should be sure to select "other" as an operating system so ITS knows the virtual machine should not be supplied by ITS. The first requirement is to create a custom virtual machine in Oracle Virtual Box. Faculty can choose their own operating system and customize the virualized hardware for each virtual machine. In addition, the system resources allocated for each virtual machine should not exceed the criteria listed in the table below.
Faculty Provided Virtual Machines Should Not Exceed |
80GB |
1CPU / 2 cores |
4GB RAM |
Local admin password provided for licensing |
